Customers
A customer is a company we sell to. Every license in Chandler belongs to a customer, so you add the customer first.
Anyone who can use Chandler can look at customers. You need the License admin permission to add or change them.
Adding a customer
- Click Customers at the top of the page.
- Click Add customer.
- Fill in the form:
- Name: the company name, as the customer writes it. For example, Acme Fiber. This is the only field you must fill in.
- Contact name: the person we deal with at the customer.
- Contact email: that person's email address.
- Internal contacts (ExactNet): the ExactNet staff who look after this customer, one email address per line. See Internal contacts.
- Notes: anything the team should know. For example, "Renews every October" or "Ask Sam before changing anything".
- Click Save customer.
Chandler opens the new customer's page, and records the new customer in the audit log. Next, issue a license for each product the customer bought.
Two customers can't have the same name. Chandler ignores capital letters when it compares names, so "ACME Fiber" and "Acme Fiber" count as the same. If Chandler says the name is taken, search for it first. The customer may already exist.
The contact details stay inside Chandler. They are never put into the customer's license file. Chandler never emails the customer's contact by itself.
Customers can't be deleted. This keeps the history of their licenses complete.
Finding a customer
- Click Customers at the top of the page.
- Type part of the customer's name into Find a customer, then press Enter or click Search. You can also type part of an email address, such as an internal contact's.
Click a customer's name to open their page. It shows:
- their name, contact details and notes
- their internal contacts, or "None yet"
- their licenses, one for each product they have
- an Issue license button for each product they don't have yet
If nothing is found, check the spelling, or search for a shorter part of the name.
Editing customer details
- Open the customer's page.
- Click Edit details.
- Change the details you need. To add or remove an internal contact, add or delete their line in Internal contacts (ExactNet).
- Click Save customer.
The change shows straight away and is recorded in the audit log.
Changing a customer's details doesn't change their licenses. Their installs keep working exactly as before, and you don't need to send them anything.
Internal contacts
Internal contacts are the ExactNet staff who look after a customer. For example, the customer's account rep. They are our people, not the customer's. The customer's own person goes in Contact name and Contact email.
Renewal reminder emails will go to the internal contacts when that feature is switched on. Until then, Chandler doesn't email them.
Add them when you add the customer, or later when you edit the customer's details. Type the addresses in Internal contacts (ExactNet):
- Put one email address on each line. Commas or semicolons between addresses work too.
- Every address must end in @exactnet.ai. Chandler refuses any other address, so a reminder can never go to a customer or an outsider.
- A customer can have up to 10 internal contacts.
- Capital letters don't matter. Chandler saves addresses in lower case and drops any address you typed twice.
If an address isn't accepted, Chandler names it under the box. Your typing stays in the box, so you can fix it and save again.
The customer's page lists the internal contacts. Click an address to write to that person. If there are none, the page says "None yet". Adding or removing an internal contact is recorded in the audit log.
